How can we help?
Creating targeted awareness management
Successful awareness management means reaching the right users at the right time with relevant information – without unnecessarily disrupting their workflow.
Here are the proven best practices for efficiently planning, managing, and evaluating your messages via the Appterix agent.
Create targeted messages
- Choose the appropriate message type: Strictly distinguish between mere information and genuine confirmations. Use the option Response required (which hides the "Discard" button) only when interaction is absolutely necessary for compliance or security reasons. Forced confirmations of unimportant information quickly lead to user frustration.
- Organization through tags and internal names: Don't rely solely on the news headline. Make sure to use internal sources. Message names and TagsSince these are invisible to end users, they massively help you as an administrator to keep the inventory organized and to filter campaigns more easily later.
- Consider localization from the very beginning: Always use the function when working in international environments Add languageUsers respond better to notifications in their system language. If a language is missing, the system falls back to your default setup – so you're not at risk.
The secure publishing workflow
- The design principle: If in doubt, always save new messages first. Save as draftThe reason is simple: Published messages cannot be edited or deleted afterwards. A draft gives you the opportunity for final review by a colleague (four-eyes principle).
- Confident handling of mistakes: If you notice a typo or incorrect recipient group after publishing, do not try to delete the message (that won't work). The best practice here is: select the message in the inventory, click Deactivate Click to cancel the delivery immediately. Then simply create a corrected new edition.
- Clever scheduling: Use the schedule types wisely. Once, reminders of upcoming maintenance windows Several times at predefined times, and general quarterly reminders (e.g. password policies) Recurring.
