Manage lost and found security keys

If a user loses a device, this must be documented in the system. Users can report this themselves via the agent, or administrators can handle it centrally.

Mark a key as "Lost"

1. Navigate to Security Key Management > Inventory and select the affected key.
2. Scroll down Lost and found.
3. (Optional) Enter details about the circumstances.
4. Click Mark as lostThe device receives the day Lost.

Mark a key as "Returned"

1. Choose the one with Found or Lost Select tagged key from inventory.
2. Scroll down Lost and found.
3. Click Mark as returnedThe tags will be removed.

Set up notifications for lost or found security keys

Notification policies in Appterix define specific events that trigger email notifications and specify which recipients receive these details.If you would like to be notified immediately when a security key marked as lost or found is used in your system, you can configure this via a specific policy..

Requirements blocal installations

• Make sure your email server is configured correctly so that the system can send notifications.
• Appterix uses an SMTP or SendGrid server to send emails.
• You can find the email server configuration under Administration > Settings > System Tools > Email Notifications.

This is not required for SaaS and MSP customers.

Step-by-step instructions

Follow these steps to set up the notification:

1. In the Appterix Management UI, navigate to Settings > Notification policies.
2. Click the button Add notification policyThe window for defining the policy will then appear.
3. Enter in the field Name Enter a suitable name for your notification policy.
4. (Optional) Add to the field Description a brief explanation.
5. Under Recipients the people or groups who should be automatically notified about the event.
6. Now define the triggering events. To do this, navigate to the section Security Key Management Events.
7. Activate the event Lost/found security key usedThis ensures that an email is sent as soon as a correspondingly marked security key is used.
8. Finally, click on Save, once all settings are configured.

Important instructions

• Automatic activation: The new policy is activated immediately by default when added.
• Expansion to other devices: You can also set up notifications for other lost or found devices in the same way. Simply activate the events to do so. Lost/Found YubiKey used under “Yubikey Management” or Lost/Found device used under “Removable Storage Access”.
